Reservation and Cancellation Terms

Applicable to reservation requests for tickets, track training, recommended hotels and transport. The website takes no online payment, and submission does not confirm a service.

Article 1 | Scope and Nature of the Request

These terms apply to reservation requests submitted through qiansencycling.com for spectator tickets, track training, Hotel booking, paid transport, team-tent rental and other event services expressly listed on the website.

The website collects and forwards reservation requests only and does not take online payment. Pressing Submit or generating a request reference does not confirm availability, a room, a vehicle, a price or acceptance by the organiser.

After reviewing availability, eligibility and service conditions, the organiser will send written confirmation, the final price, payment method, payment deadline, cancellation rules and other specific conditions only from cycling@qiansen.com. The service contract is determined by the subsequent confirmation email, payment notice and actual payment circumstances.

Article 2 | Prices, Currency and Availability

Ticket, training, hotel and tent prices listed on the website are the base prices for the corresponding services. Chinese pages may also show a CNY conversion, while English pages show euro prices. Bank charges arising from a transfer are borne by the sender.

Tickets, training places and tent positions are capacity-limited. Hotel room type, breakfast, occupancy and availability require hotel confirmation. Vehicle type, route, carrier and price require confirmation by the organiser or carrier. Submitting a request does not automatically hold inventory or a position.

If the website contains an obvious error in price, date or information, the organiser will correct it before confirmation and allow the applicant to decide whether to proceed. A confirmed and paid service may not be arbitrarily increased without a lawful basis or the applicant's agreement.

Article 3 | Submission, Review and Confirmation

Applicants must accurately provide their name, country or region, email, phone, optional WeChat details and the information required for the selected service, and review all dates, sessions, quantities, hotel details or transport itineraries before sending.

After the applicant submits the form, the system securely stores the request in the event administration portal and generates a unique reference. Submission is complete only when the page displays a successful-save message and reference.

The organiser manually reviews each request. A service is confirmed only after the applicant receives an express confirmation from cycling@qiansen.com and completes the required bank transfer to the organiser's corporate account within the stated deadline.

Article 4 | Payment Method and Account Security

This website does not take online payment and never asks for a card number, expiry date, security code, online-banking password or payment verification code. Payment is made only by bank transfer to the organiser's corporate account after confirmation. The website and event site do not accept payment for these reservation services.

Bank details, currency, amount, payment reference and deadline are sent only from cycling@qiansen.com. Applicants must not pay on the basis of a personal email, instant-messaging account, QR-code image or information that cannot be verified on the official website.

If an account-change notice is received, the applicant must pause payment and verify it again through cycling@qiansen.com. The request reference should be included in the bank-transfer reference, and proof of transfer should be returned as instructed. Responsibility for intermediary-bank fees, transfer fees and any shortfall is stated in the confirmation email.

If bank transfer is not completed by the deadline in the confirmation email, the organiser may cancel the confirmation and release the ticket, training place, hotel room, vehicle or tent position.

Article 5 | Service-Specific Rules

Tickets: children aged 0–3 enter free; ages 4–16 require a child ticket; ages 17 and over require an adult ticket. Ticket type, date, identity rules and entry credentials are stated in the confirmation email.

Training: each place covers one rider and one 115-minute training session. The fee is €30 per rider per session, excluding service and transaction fees. A team may reserve multiple riders for one session and must provide each rider’s name, UCI ID and licence category, together with the federation or team name and valid insurance information. After payment confirmation, an individual booking receives an individual e-ticket for each confirmed session, while a team/group booking receives one group e-ticket per confirmed session. Check-in takes place at the BMX track 10 minutes before the session. One wristband is issued for an individual ticket, while a group ticket receives wristbands equal to the confirmed rider count.

Hotels: room type, bed type, breakfast, occupancy, arrival time and special requests remain subject to final hotel confirmation. Website amounts are estimates; rooms are held only when stated in the confirmation email and after the required payment is completed.

Transport: the official shuttle costs €45 per person and each coach accommodates approximately 20 passengers. It operates on 5 October from 08:00 to 09:00 from PEK or the Mentougou World Cup official hotel to the Chongli official hotel, and from the Chongli official hotel to PEK at 18:00 on 11 October and 06:00–09:00 on 12 October. The journey is approximately four hours. A private group transfer costs €950 per vehicle for up to 20 passengers. Services outside official times, from PKX or during the event require advance request and final confirmation.

Tents: the team area east of the start hill contains 90 positions for 4 m × 4 m tents. Each tent includes one table, four chairs and a power outlet and costs €590, excluding service fees and transaction fees. Multiple tents may be connected. Positions are first come, first served, and a confirmed reservation cannot be cancelled.

Article 6 | Changes, Cancellation, Refunds and No-Shows

Before confirmation or payment, an applicant may request withdrawal or amendment through cycling@qiansen.com. Whether a change is possible and whether the service can remain available depends on current capacity.

Before accepting any prepayment, the organiser will state in writing in the confirmation email or payment notice the service, price, refund method, cancellation conditions, liability for breach and necessary charges. Payment signifies acceptance of the clearly stated specific conditions for that reservation.

If the organiser or actual service provider cannot provide the confirmed service, it will offer a lawful alternative, reschedule or refund arrangement. Changes caused by weather, track safety, government or UCI directions, traffic restrictions, public-health events or other force majeure are handled under the applicable notice, confirmation email and law.

If bank transfer is not completed by the deadline in the confirmation email, the organiser may release the relevant place or resource. Refund method, amount and timing after payment are governed by the confirmation email, banking process and applicable law. A tent reservation expressly marked non-cancellable is subject to that special rule, without limiting any liability that the organiser must bear by law.

Article 7 | Personal Information

To review and fulfil requests, the organiser may collect the name, country or region, email, phone, WeChat voluntarily provided by the applicant, ticket type, UCI ID, rider eligibility, hotel details, transport itinerary, flight or train details and equipment quantities that are necessary. The website does not collect full bank-card details.

Information is used for review, contact, eligibility verification, capacity planning, confirmation, reconciliation, customer service, event safety and dispute handling. It may be provided only as necessary to hotels, carriers, the venue, security, medical, finance, email or other contracted service providers.

Unless law requires otherwise, personal information is kept only for the shortest period necessary. Applicants may contact cycling@qiansen.com to request access, a copy, correction, supplementation, deletion or withdrawal of consent, except where processing remains necessary under law or to perform a contract.

Applicants must not email banking passwords, verification codes or unnecessary full identity numbers.

Article 8 | Applicant Responsibility and On-Site Safety

Applicants must ensure that submitted information is true, accurate and complete and should check inbox and spam folders. Liability for delay caused by inaccurate information, email filtering or failure to follow confirmation instructions is allocated according to each party's fault and applicable law.

Applicants must not impersonate another person, falsify a UCI ID, resell named places, copy credentials or misuse a request reference. The organiser may lawfully verify identity, eligibility, payment and use status.

Training and event participants must assess their health and technical ability, hold appropriate insurance and comply with UCI rules, event regulations, venue rules and staff instructions. No standard term excludes the organiser's mandatory safety obligations.

Article 9 | Official Communication, Fraud Prevention and Support

The only official email for reservation confirmation and payment instructions is cycling@qiansen.com. The organiser will not ask applicants through a personal email to pay a personal account and will never request a bank-card password or verification code.

If an applicant doubts the authenticity of an email, bank account or payment request, payment must be paused and the matter verified again through cycling@qiansen.com.

For tickets, training, hotels, transport, tents, payment verification, changes or refunds, contact cycling@qiansen.com and provide the request reference and only the information necessary to resolve the issue.

Article 10 | Governing Law, Standard Terms and Disputes

These terms and subsequent confirmation, payment and service performance are governed by the laws of the People's Republic of China, including the PRC Civil Code, E-Commerce Law, Consumer Rights Protection Law and its implementing regulation, and Personal Information Protection Law.

Material provisions concerning price, confirmation, payment deadlines, cancellation and refund, identity checks, training safety, hotels, transport and personal information must be prominently highlighted. The organiser may not use standard terms to unreasonably exclude or reduce its liability, increase the applicant's liability or remove the applicant's principal rights.

Disputes should first be discussed through cycling@qiansen.com. If unresolved, the parties may lawfully use consumer organisations, market-regulator complaint or mediation channels, or bring proceedings before a court with jurisdiction. A valid separate arbitration agreement, if any, applies according to its terms.
